Privacy Policy

Overview

Match Scanner (the “App”) is a barcode-driven inventory tool for small businesses, shops, and warehouses, provided by Rambody (“we”, “us”). This Privacy Policy explains what information the App collects, how we use it, who we share it with, and the choices you have, including how to delete your account and all of your data.

By creating an account and using the App, you agree to this Privacy Policy. If you do not agree, please do not use the App.

Information We Collect

• Account information: your name, business name, and email address, provided when you register. Your password is stored only as a securely hashed value, we never store it in plain text.
• Inventory data you create: products, barcodes, product codes, counts, par/minimum levels, invoice comparisons, and count history.
• Product and invoice photos: images you capture or select to identify products or read invoices.
• Technical identifiers: an account/tenant identifier and a device identifier used to sync your data and keep it separate from other accounts.

The App uses your device camera to scan barcodes and to take product and invoice photos. It does not collect your location, contacts, or advertising identifiers.

How We Use Your Information

• To create and authenticate your account and keep you signed in.
• To provide the App's core features: counting inventory, matching deliveries to invoices, building your product catalog, and syncing your data across your devices.
• To read product and invoice photos so we can identify items and fill in product details.
• To operate, secure, and improve the service, and to respond to your support requests.

We do not use your information for third-party advertising, and we do not track you across other companies' apps or websites.

How Your Information Is Shared

We do not sell your personal information. We share data only with service providers that help us operate the App, and only as needed to provide the service:

• Microsoft Azure: cloud hosting, database, and storage for your account, inventory data, and photos.
• OpenAI: product and invoice photos you submit are sent to OpenAI's API to read the text/labels in the image. Per OpenAI's API policy, this content is not used to train their models.
• Barcode reference sources: when you scan a barcode we may look it up in public/product databases (such as Open Food Facts and UPCitemdb) to retrieve a product name and brand. Only the barcode number is sent for these lookups.

We may also disclose information if required by law, or to protect the rights, safety, and security of our users and the service.

Data Retention & Security

We retain your account and inventory data for as long as your account is active. Temporary images used for photo recognition are automatically deleted shortly after processing. Data is transmitted over encrypted connections (HTTPS) and stored on secured cloud infrastructure with access controls.

Deleting Your Account & Data

You can permanently delete your account at any time from within the App: open the Account menu (tap your name on the home screen) and choose Delete Account. This permanently and irreversibly erases your account and all associated data (products, counts, photos, invoice comparisons, and history) from our servers.

If you are unable to access the App, you can request deletion by emailing us at the address below and we will delete your account and data.

Children's Privacy

Match Scanner is a business tool and is not directed to children. We do not knowingly collect personal information from children under 13.

Changes to This Policy

We may update this Privacy Policy from time to time. The most current version will always be available at https://www.rambody.com/matchscanner/privacy/. Continued use of the App after changes take effect constitutes acceptance of the updated policy.
